Responsibilities:
- Greet clients, visitors, and employees in a professional, friendly, and efficient manner.
- Answer, screen, and direct phone calls to appropriate departments or individuals.
- Manage office schedules, including arranging meetings and appointments for senior staff.
- Handle incoming and outgoing mail, packages, and deliveries.
- Maintain the reception area and ensure it is always organized and presentable.
- Provide general administrative support, including data entry, filing, and handling documentation.
- Manage office supplies inventory and place orders when necessary.
- Coordinate with internal teams to ensure smooth communication and efficient operations.
- Help organize events and meetings, ensuring all logistics are covered.
- Maintain records of visitors, ensuring compliance with security protocols.
- Assist with client inquiries and provide exceptional customer service.
- Perform other administrative tasks as required.
Requirements:
- Education: High school diploma or equivalent (Bachelor’s degree preferred).
- Experience: Proven experience as a receptionist or in a customer service role, ideally in a corporate or financial services environment.
- Office Productivity Tools: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
- Communication Skills: Excellent verbal and written communication skills with the ability to interact with clients, senior management, and team members professionally.
- Organizational Skills: Strong organizational abilities with the capacity to handle multiple tasks, prioritize effectively, and manage competing deadlines.
