Senior Client Administrator/Assistant Manager Client Services

To administer the affairs of a portfolio of more complex clients in accordance with Company’s procedures. As required, provide assistance with supervisory tasks and projects.

 

Client Service

  • Take responsibility for achieving a high standard of client service ensuring that client expectations are met. Develop relationships with clients and intermediaries so as to be seen as the first point of contact on all routine matters.
  • Be aware of risk factors and refer upwards, exercising judgment as to when help is needed from senior staff.
  • Develop a sound working knowledge of Company’s’s offering and be able to promote these to clients.

Day to Day Administration

  • Take primary responsibility for the timely delivery of administration services to a complex portfolio of trusts and companies.
  • Ensure accurate and detailed records are maintained for all client structures within the portfolio.
  • Liaise with Investment Managers, Asset Managers and other third parties regarding client structures as required.
  • Ensure turnaround time relating to client correspondence is as short as possible.
  • Attend client meetings when required and prepare relevant meeting material.
  • Ensure that outstanding review points are dealt with within the set time frame.
  • Review draft financial statements and deal with outstanding points within the set time frame.
  • Utilise all company systems, in particular NAV, so as to obtain their most effective use.
  • Follow the correct procedures and controls throughout the life of a structure.

Day to day assistance with the supervision of the Client Service Team

  • Assist administrators with client matters of a more technical nature where necessary and escalate to superiors, where appropriate.
  • Assist administrators within the client service team to understand and follow Company’s’s procedures and policies in relation to all administrative activities.
  • Encourage colleagues to utilise Company’s systems, in particular NAV, so as to obtain their most effective use. Recommend changes to day to day practices to ensure efficiencies are maximised.
  • Ensure that correct procedures and controls are followed on the transfer in and transfer out or closure of client business within relevant client service team.

Staff Training and Development

  • To provide others with such information and training/coaching as may be required based on relative experience.
  • As required, act as mentor for new joiners, especially in relation to internal policies and procedures.

Compliance and Regulation

  • Maintain an awareness of the legal and regulatory framework in Jersey.
  • Understand and apply Company’s’s compliance policies and procedures in respect of sanctions, AML and Anti-Bribery. Report suspicious transactions and complaints in accordance with the procedures and guide colleagues if needed.
  • Maintain detailed knowledge of the company’s policies and procedures, ensuring they are adhered to in the course of day to day activities.
  • Work with management to develop appropriate processes and procedures.

Financial Management

  • Review WIP for fee approval for own portfolio.
  • Achieve budgeted utilisation targets, control day to day time costs and expenses.
  • Regularly review debtors and take action to recover debts within agreed timeframes.

General

  • Undertake ad-hoc tasks, carry out duties including projects and delegated responsibilities;
  • Any other cognate duties;

Profile:

  • ICSA Qualified /Partly Qualified
  • ACCA Qualified or Partly Qualified would be an advantage.
  • At least 5 years of experience in the Global Business sector.
  • Well-versed in Microsoft Office tools
  • Solid organisational and resource management skills
  • Proven team management, team participation and leadership skills
  • Well developed communication skills, Business analysis skills and technical abilities necessary to meet business needs and achieve the highest professional standards
  • Dynamic, self-motivated, thorough and ready to work flexible hours
