To provide comprehensive personal, secretarial and administrative support to the sales team of the Company.

 

Job Purpose: To provide comprehensive personal, secretarial and administrative support to the sales team of the North Office.

 

Main Responsabilities:

  • Prepares letters/documentation for signature.

  • Make appointments, travel, accommodation and itineraries under own initiative.

  • Liaise with internal/external contacts as and when required.

  • Act as main reference point for other management/team(s)/outside contacts, responding to/resolving queries/providing information or channelling to an appropriate alternative source, to avoid unnecessary interruption. 

  • Organize meetings and compile agendas, attend a variety of meetings, take and transcribe minutes and undertake any necessary follow up procedures.

  • Act as receptionist for influential customers on visits, provide hospitality as required and convey a professional image.

  • Creates and maintains records and filing systems (electronic and hard copy formats), which may include confidential/sensitive information.

  • Ensures that paperwork, i.e. purchase orders, travel claims, and time-sheets, are done in a timely manner.

  • Order office supplies including stationery and business cards.

  • Transcribes from dictation/audio external/internal correspondence, reports and other documentation, where terms may be technical and complex and urgent deadlines will have to be met.  Applies spelling, punctuation and grammar as appropriate.

 

Qualification, Skills and Experiences:

  • HSC/ Baccalaureat level. In possession of a secretarial certificate/ qualification would be an advantage.

  • A minimum of 2 years experience in a similar position.

  • Computer literate and knowledge of Microsoft Office with the ability to learn new software applications.

  • Organised and able to work on own initiative as well as part of a team.

  • Dynamic, motivated individual, with excellent administration skills coupled with a high level of integrity.

  • Fluent in English and French both verbal and written.
