Eric Chavoix Architects Ltd is currently looking for a dynamic Office Manager to join our international team as from September 2017.
OVERVIEW
Founded in 2007, Eric Chavoix Architects, conceived as a "boutique architecture studio", seeks a unique conceptual approach for each of its tailor-made projects in Mauritius and abroad, from private luxury villas to high-end RES or PDS developments.
THE ROLE
As our office manager, you will be the heartbeat of the team. You will be the key go-to person with your finger firmly on the pulse of everything required to ensure the smooth running of our office and studio.
This will be an exciting and diverse role which will see you working across multiple disciplines including; administration, HR, finances management, projects administration and coordination, office maintenance, contracts proposals and invoicing, processes implementation, etc.
You are organized, dynamic, a responsible and experienced professional, with a can-do attitude.
CORE RESPONSIBILITIES
- Act as a communication facilitator between the Director and the Studio, making sure the studio needs are met (questions, information needed, etc).
- Be the right-hand of the director, provide key information and support for decision-making.
- Understand, analyse, manage and protect the business finances.
- Oversee assets, building maintenance, office budget, keep costs under control.
- Oversee the contractual requirements of the business’ projects and ensuring they are maintained.
- Ensure that employees are well supported and managed, to work in an effective and efficient manner.
- Maintain employee and client retention rates through active communication and problem-solving efforts.
- Oversee administration (accountant, administrator, household staff).
- Initiate, support and manage the local and international recruitment processes. Maintain the performance appraisal system. Discipline staff. Oversee salaries administration.
- Ensure a positive and professional image of the company.
KEY SKILLS
- Business degree or equivalent
- At least 5 years of administrative experience
- Past experience in architectural or other professional services would be a plus.
- Skills in financial, administrative, human resource management practices and procedures. Familiar with Quick books.
- Highly organized and flexible
- Excellent communication skills. Fluent in both English and French. Problem analysis and problem-solving skills
- Attention to detail and high-level of accuracy
- Initiative, must be self-directed and able to complete projects with limited supervision, with at the same time high accountability with continuous operational feedback and office status reports to director.
