We are looking for an Office Administrator for one of our clients.
Description
- Greeting visitors and directing them to the right person
- Send, receive and distribute faxes, and parcels
- Managing the switchboard - answering all calls, screening phone calls and taking messages when required
- Looking after visitor book and security passes
- Receipt of courier parcels
- Ensures knowledge of staff movements in and out the organisation
- Receive and sort mail and deliveries
- General administrative and clerical support.
- Undertake other duties such as banking deposits and assist other staff with their enquiries
- Organise travel arrangement for staff and managers.
- Undertake other duties such as banking deposits and assist other staff with their enquiries
- Coordinate repairs to office equipment
- Arrange for couriering of documentation
- Produce invitation letters for visitors
- And any other duties assigned by managers.
Requirements
- General administrative/receptionist training/experience
- Having and understanding of Corporate laws in Mauritius
- Having a systematic approach to work and an eye for detail.
- Ability to work proactively
- Being able to make a judgment when to consult others and act on information.
- Receiving and following up information effectively and double-checking with others involved.
- Work well under pressure and to tight deadlines.
- To work to own initiative
- Good communication and writing skills - able to communicate in English and Swahili
- Computer literate (working knowledge of MS Office)
- Must be able to communicate well internally and with suppliers
- Must be highly organized and able to plan him/herself
- Strong interpersonal and communication skills
- Structured and organized approach
- Self-reliant, flexible, energetic, confident
- Strong resistance to pressure
