Position based in the Maldives. Single travelling status ONLY The Executive Assistant Manager works in close collaboration with the General Manager & other Department Heads.

 

JOB SUMMARY

The Executive Assistant Manager works in close collaboration with the General Manager & other Department Heads.  

He will also overlook Front Office, Housekeeping, Spa, Transport, Security and Airport operations.

DUTIES AND RESPONSIBILITIES:

Responsibilities and duties for this position shall include, but not be limited to, the following areas and activities. At management discretion, direction may be given for tasks outside the scope of work described.

  • To be responsible of the Dhoni Crew, Speedboat crew, Security team
  • Be in charge of the Dhoni cleanliness and maintenance
  • Be in charge of the Speedboat cleanliness and maintenance in collaboration with the Resident Engineer.
  • Welcome all arrivals and greet farewell to all departures
  • To check arrival villas
  • Be part of the Manager On Duty roster (MOD)
  • To check the outlets
  • Spot check the staff accommodation
  • Overview general operation of Rooms Division
  • To encourage Energy Saving
  • To ensure smooth unloading of the supply Dhoni
  • To check cleanliness and good use of the club cars
  • Assist in the Sales and Reservation process of the resort if/when required.
  • Monitor Lost and Found in collaboration with the housekeeping department.
  • To be responsible for any losses, damages, and proper storing of all equipment and stationeries found in the Office.
  • Be in contact with in-house guests and assist with queries.
  • To be proactive and creative when attending to any VIP’s, guests / visitor’s query and dissatisfaction under General Manager’s guidance.
  • Liaise at all levels within the company as required and facilitating communication between the General Manager and other team members of the resort and also the public at large e.g. suppliers.
  • Work as part of a team and establish a two way communication network between peers and yourself.
  • Ensure that operating costs are kept to a minimum.
  • Greet and screen visitors.
  • To keep the office clean and tidy at all times.
  • Recommend new and revised office procedures as appropriate to the General Manager.
  • To be familiar with the hotel’s emergency plans – in case of fire, tsunami, bomb threat and so on; and procedures for “Lost & Found” items.
  • To give active support to other departments on request by the General Manager.
  • To be fully aware of any promotions, special events and packages organized by the resort as per Daily Event Sheets and weekly highlights.
  • Having an eye for details to improve the quality of service by continuously being creative and taking initiative.
  • Any other cognate duties and responsibilities that may be assigned by the General Manager to facilitate the smooth running of the resort.
  • Assist with Site Inspections, on occasion co-host dinners.
  • Answer small queries from Clients via Website.
  • Research new market opportunities.
  • Map out and discover potential customers and competitors.
  • Assist the Front Office whenever necessary with regards to the Front Office as well as the Guests Relation function.
  • Organize and coordinate resort tour whenever required
  • Organize, coordinate and host events whenever required
  • To be familiar with Maldivian labour law and how it is implemented
  • Send on monthly basis reports/statistics to the GM
  • In the absence of the GM, to  be in charge of the resort operations
  • Perform any other duties as may be assigned by the Management
